Orthodontic Practice Google Listing Reinstatement
One of your locations vanished from Google Maps and the new patient calls for that office stopped the same day. For an orthodontic practice running on consultation volume and referral follow-through, a missing listing is the front door being welded shut while the lights are still on inside.
Why do orthodontic practices get suspended more often than general dental offices?
The useful part is that orthodontic suspensions cluster around a small set of causes, and nearly all of them trace back to how multi-location practices are physically staffed. The unhelpful part is the reflex almost every practice owner has in the first hour, which is to appeal straight away. That reflex is the most common reason a recoverable suspension becomes a permanent one.
Because orthodontics is one of the few specialties where a single doctor legitimately works out of several addresses part-time, and Google's location systems are built to treat exactly that pattern as fake.
Satellite offices staffed part-time. Most orthodontists run two or three locations, each open a couple of days a week, and frequently inside a building that belongs to another practice. Irregular hours plus a shared address is the classic false-location flag. Nothing about it is dishonest, but it matches the signature of a lead-generation listing almost perfectly, and Google's enforcement does not distinguish between the two on its own.
Hours that do not match physical presence. If a satellite listing shows Monday to Friday hours because that is when the building is open, but the orthodontist is only there on Tuesdays, Google treats that as a misrepresentation of availability. This is one of the few triggers that a competitor or a patient can report directly, and reports on hours accuracy get actioned.
A location inside a general dentist's premises. Two listed businesses sharing one door is a verification problem before it is a policy problem. Google expects a distinct entrance, distinct signage, and staff answering in the orthodontic practice's name during the hours the listing claims. When the receptionist answers with the host dentist's name, the address association behind the listing weakens.
Listings the practice cannot access. A previous marketing agency, or a DSO the practice has since left or never controlled, may still hold ownership of the profile. The suspension notice goes to an inbox nobody at the practice reads, the correction window passes silently, and the first the owner hears about it is the listing disappearing.
One location suspended while the others survive. Owners read this as random enforcement. It almost never is. Google actions the weakest-verified address in the group, usually the newest satellite, the one with the thinnest signage evidence, or the one whose suite designation differs between the listing, the website and the lease.
What should I do in the first 24 hours?
Do not submit an appeal yet. Read that again, because it is the opposite of what the situation makes you want to do.
Then, in this order:
- Screenshot everything. The suspension notice, the current state of the affected listing, your Business Profile Manager dashboard including the other locations, and the live search result for the practice name plus that city. Once a profile is fully removed some of this becomes unrecoverable.
- Find the notification email. It will say whether the profile was suspended or disabled, and it sometimes names a policy. Both matter. If the profile was set up by an agency or DSO, the notice may have gone to them.
- Establish whether it is soft or hard. If you can still see and edit the location in Business Profile Manager but it does not appear publicly, that is soft. If the location is gone from the dashboard entirely, that is hard. The two need completely different approaches.
- Do not edit anything, and do not change the hours yet. Editing during a suspension can reset a review queue you are already in. The hours will need correcting, but as part of a planned sequence rather than a panicked one.
- Do not touch the surviving locations. Bulk-editing a location group while one location is under review is a reliable way to turn one suspension into three.
- Gather your documentation before you need it: business licence, the orthodontist's state dental licence, incorporation or DBA filing, the lease or sublease for that specific address, a utility or service bill at the exact suite, and photographs of permanent exterior and interior signage carrying the practice name.
What is the difference between a soft and a hard suspension?
A soft suspension means the location still exists and you still have access, but it no longer appears in search or Maps. Verification has usually been revoked. These are generally recoverable through re-verification once the underlying cause is corrected.
A hard suspension means the location has been removed from your account entirely. These are more serious, usually indicate a policy violation rather than a verification failure, and require a reinstatement request supported by evidence.
Working out which one you have is the first diagnostic step, because submitting the wrong kind of request wastes the attempt.
Why does appealing immediately usually make things worse?
Because an appeal is not a conversation. It is a submission that gets reviewed once, against the profile as it currently stands.
If you appeal before correcting the underlying cause, the reviewer sees the same problem that triggered the suspension, and the appeal is denied. Subsequent appeals on the same profile face a higher bar, and repeated denied appeals on an uncorrected profile can move a soft suspension toward a permanent one.
For a satellite office this matters more than usual, because the thing being judged is whether a real business operates at that address. An appeal filed while the hours still claim five days of presence answers that question badly, in writing, on the record.
The sequence that works is diagnose, correct, evidence, then appeal. Not appeal and hope.
What documents does Google typically ask for?
Requests vary by case, but for an orthodontic practice the evidence that carries weight is:
- Business licence showing the legal entity name and the exact address of the affected location
- State dental licence or registration for the treating orthodontist
- Articles of incorporation or DBA filing matching the name on the listing
- The lease or sublease for that address, including the suite designation
- A utility or service bill at that suite
- Exterior and interior photographs showing permanent signage in the practice name, ideally including a distinct entrance
- A website with a dedicated page for that location whose name, address, phone number and hours match the listing exactly
That last one is where most reinstatements are actually won or lost, and it is the part multi-location practices most often overlook, because the satellite offices usually share one contact page.
